Setting preferences in your address book
You can set preferences for your new contact documents in your Personal Address Book.

To change the owner of an address book

If you receive a copy of an address book from someone else, for example your predecessor in a job, you can change the owner of the address book to yourself.

1. Select or open the address book and choose Actions - Edit Address Book Preferences.

2. Enter a new name in the "Address Book owner" field. You can click the button next to the field to select a name from an address book.

3. Click "Save and Close."

To sort groups

Notes doesn't sort names you add to a group or mailing list by default, but you can specify automatic alphabetic sorting when you save a group document. Lists in group documents are always sorted by first name, even if you turn on the preference for sorting views and displaying contact details by last name.

Tip Turning on this preference doesn't sort existing groups and mailing lists, but you can edit an existing list and click the "Sort Member List" button.

1. Open the address book and choose Actions - Edit Address Book Preferences.

2. Select "Sort all new groups by default."

3. Click "Save and Close."

To allow LDAP searches of an address book

For address books on Domino servers, you can specify that Notes include an address book in Internet LDAP searches initiated by other users.

1. Open the address book and choose Actions - Edit Address Book Preferences.

2. Select "Allow detailed LDAP queries of this address book."

3. Click "Save and Close."

To display last names ahead of first names

By default Notes sorts contacts in views and displays them in the preview pane by first name, but you can change that setting for all new or all existing contact documents.

1. Open the address book and choose Actions - Edit Address Book Preferences.

2. Under "Newly created Contacts should have names formatted as," select "Lastname Firstname."

3. (Optional) Click "Update all entries" to apply the change to existing as well as new contact documents.

4. Click "Save and Close."

To select an address format for all new contacts

The address format you can set in this dialog box applies to new contact documents unless you modify their formats individually.

1. Open the address book and choose Actions - Edit Address Book Preferences.

2. Under "Default address format for all contacts," select a format from 1 to 6. Notes automatically previews the format you select.
