Calendar preferences -- Rooms and resources
You can set defaults for the site and the preferred list of rooms and resources that display when you are scheduling a meeting.

1. Open the Calendar and choose Actions - Tools - Preferences, click the Calendar & To Do tab, and then click Rooms and Resources.

2. To specify the site that the Find Room and Find Resources dialogs will open with, click the address book icon and browse for your preferred site.

3. Select your preferred site and click OK.

4. (Optional) Deselect "Prompt to reset your preferred site when scheduling within a site that is not your current preferred site" if you want your preferred site default to remain the same the next time you select a different site when scheduling a meeting.

6. Choose an address book from the "Choose address book" list.

7. Select rooms or resources you want in the list (hold the SHIFT key to select more than one item), and then click Add.

8. Click OK.

9. Under "Preferred Room list management" or "Preferred Resources list management," select how you want Notes to behave when you schedule meetings and select rooms or resources not on your preferred list.
